Welcome to deckref.app (“we,” “our,” or “us”), operated by CRT Apex Technologies LLC. We are committed to protecting your privacy and ensuring you maintain complete control over your swim meet data. This Privacy Policy explains how we handle information when you use our web application to score swim meets.

Our mission is to eliminate the need for manual scorekeeping and help officials and parents focus on the swimming, not the paper.

2. Information We Collect (Data Minimization)

We believe in strict data minimization. We only process the information absolutely necessary to provide the core functionality of the app—specifically, scoring swim meets according to NFHS rules.

Account Information

To manage your meets, you are required to create a free account. We process your login credentials solely for authentication purposes to ensure you have secure control over your specific meets. We do not integrate with third-party marketing services.

Meet & Scoring Data

We collect the anonymous data you explicitly enter to set up and score a meet. This includes:

  • School names (e.g., JV and Varsity teams)
  • Meet details (Date, Location, Pool configuration: Lanes, Length, Diving availability)
  • Performance data (Finish positions, Disqualifications (DQ), Exhibition status, Ties)
  • Diving scores (1-6 divers per school)

3. Educational Privacy, Minors, and PII

Because DeckRef is utilized to score high school and age-group swim meets, we adhere to strict educational privacy standards by design.

  • No Athlete PII: We DO NOT collect, store, or process Personally Identifiable Information (PII) of the swimmers or divers. We do not ask for or record real names, birthdates, ID numbers, or contact information. Scoring is tracked solely by generic finish positions and lanes.
  • No Electronic Communications: We do not ask athletes or officials for phone numbers, and we do not integrate SMS or email notifications into the meet scoring workflow.
  • FERPA & COPPA Compliance: By intentionally omitting the collection of student PII, DeckRef operates in alignment with the Family Educational Rights and Privacy Act (FERPA), the Children’s Online Privacy Protection Act (COPPA), and Wisconsin state laws regarding pupil records (Wis. Stat. § 118.125).
  • No Marketing: We strictly prohibit the use of any entered data to build marketing profiles or for targeted advertising.

4. How We Use Your Information

We use the data you enter exclusively to:

  • Calculate real-time scores between teams
  • Apply NFHS scoring rules to finish positions and diving results
  • Generate final meet outcomes
  • Maintain the functionality of the app (e.g., saving your meet history)

5. Data Sharing and Disclosure

We do not share your data.

  • We do not sell, trade, or rent user-entered data to third parties
  • We do not share your meet data or account information with advertisers or external organizations
  • We do not currently offer export or import functionality to external databases.

6. Data Retention and Deletion

You retain full control over your data.

Delete Meets

You may delete individual meets from your account at any time.

Delete Account

You have the right to request the complete deletion of your account. Upon this request, your account and all associated meet data will be permanently removed from our system.

7. Security

We implement reasonable security measures, including industry-standard encryption, to protect the integrity of the data you enter for your meets. However, please be aware that no method of transmission over the internet or method of electronic storage is 100% secure.

8. Changes to This Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page.
